Choose the job the message needs to do

A repair update, an appointment confirmation and an offer for a seasonal service serve different purposes. Write the purpose before the copy. An operational update should help the customer manage an existing interaction. A promotion asks them to consider additional business. Adding a discount to an appointment message changes what the message is trying to achieve.

For a workshop, a useful promotional audience might be customers who have chosen to receive relevant offers and own vehicles suited to a particular service. For a detailer, it might be customers interested in maintenance care after a completed treatment. Avoid assumptions about technical requirements or service intervals unless the business has reliable information for that vehicle.

Do not start with the largest possible list. Start with a specific customer need, an appropriate permission basis and enough capacity to handle responses.

Check the rules for the actual recipients

For Canadian commercial texts, the CRTC explains that CASL covers SMS and sets requirements around consent, sender identification and an unsubscribe mechanism. Its guidance also covers cross-border situations. Do not assume that sending through a foreign platform removes those obligations.

In Australia, ACMA guidance requires consent for marketing messages, sender information and an easy unsubscribe route. It also explains that the business remains responsible when another company sends messages on its behalf. A purchased list does not remove the need to establish permission.

For US campaigns, review the current rules that apply to the recipient, campaign purpose and sending technology before launch. An email compliance checklist is not a complete SMS review. Have the responsible person establish the requirements for your specific programme rather than copying another country’s message template.

Build a permission record you can actually use

Record the contact, how and when permission was obtained, what wording the person saw, the applicable audience and any later preference change. The campaign operator should be able to explain why a contact is eligible without searching an employee’s memory. Keep transactional communication preferences distinct from promotional subscriptions.

When a customer changes their phone number, update the relevant record. When someone withdraws permission, make sure a later spreadsheet import does not silently restore them to a campaign. Check suppression handling before importing data from a previous vendor. Exporting a list and copying it between tools can lose the information that makes it usable.

Collect only the information needed for the programme. A marketing message does not need to contain a full repair history, sensitive payment information or a detailed description that could be read by someone else using the phone.

Write for one decision, then test the whole path

Use your business name, a relevant reason for contacting the person and one clear next action. A message can invite a reply or send the customer to a matching service page. It should not promise an appointment that your team has not confirmed. Avoid false urgency and vague links that make a legitimate workshop look unfamiliar.

Here is an illustrative promotional structure for review, not a ready-to-send compliance template: “[Shop name]: We have availability for [accurately described service]. View what is included at [recognisable link], or reply with your question. [Approved opt-out instructions].” The final identity, contact and unsubscribe details must match your applicable requirements and sending system.

Test the message on a real device, including the landing page and reply route. If the sender cannot receive replies, do not tell customers to reply. If a link opens an enquiry form, its confirmation should explain what happens next.

Treat replies as customer conversations

Assign responsibility before sending. A customer may ask about vehicle compatibility, the scope of the offer, available dates or an unresolved previous visit. Provide a route to someone who can answer accurately. An automated acknowledgement can set expectations, but an acknowledgement is not a completed booking.

Plan for unsuitable requests too. If an offer generates inquiries for vehicles you do not service, revise the audience and copy. If customers repeatedly misunderstand what is included, improve the service page. Increasing send volume without addressing those problems magnifies staff work.

Respect changed preferences promptly through the process you have established. Keep the conversation useful; repeated follow-ups after silence can undermine the trust that made the original contact possible.

Measure beyond the click

Review delivered messages, replies, relevant inquiries, confirmed appointments and completed work as separate stages. Record opt-outs and complaints alongside commercial outcomes. A campaign with many replies may simply have unclear wording. A link click does not establish that the customer requested a service.

For an illustrative test, compare two small eligible groups receiving different explanations of the same service. Keep the availability and handling process comparable. Evaluate whether the clearer message produces better understood inquiries, not just more taps. The shop’s own completed-work records provide the business context.

Be careful when attributing every subsequent visit to the text. An existing customer may already have planned to return. Ask whether the campaign helped them make a decision and compare results with a sensible baseline before expanding it.

Your questions, answered

Can we text every previous customer?

Review the purpose, permission records and rules that apply. A previous purchase or stored phone number should not be treated as unrestricted permission to send any promotion.

Are appointment reminders the same as marketing?

They serve different purposes. Keep operational notices focused on the existing interaction, and review promotional additions separately.

Should every text contain a discount?

No. A clear service explanation or relevant availability can be useful. Discounts should support a real commercial decision rather than compensate for an unclear offer.

Does Pulse handle customer bookings?

Your business handles customer conversations and bookings. Pulse connects acquisition activity with the inquiry journey; discuss any proposed messaging workflow and its responsibilities before implementation.

What if our previous provider owns the contact list?

Establish access, export rights and permission-record availability before a handover. Do not assume a spreadsheet of numbers contains the records needed to use them.
